Creating Accounts

User accounts can only be created by a SHARE administrator. If someone needs to have a user account created in SHARE, please contact your SHARE administrator.

Note

In order for a user account to be created, your SHARE administrator will need an email for the user, as well as their first and last name. In addition, the administrator will need to know which Division the user needs access to and what permissions to that Division the user should be given (see Roles and Permissions matrix).

Steps to create a new user

  1. Click the on your avatar and a dropdown will appear.
  2. Select “Admin”.
  3. Click on “Users”
  4. Select “Add Users” button.
  5. Fill out the form for a new user. Be sure to pay attention to required fields.
  6. Select the Division and the Role the user will have in that Division or Divisions. This allows or restricts access to Divisions within the SHARE environment.

Roles and Permissions

No Access

  • The user will not have access to a Division. This is the default for all Divisions when a user is created.
  • If the user had “No Access” to a Division, the user will not see the Division in the left-hand navigation pane.

Super User

Super Users have permission to:

  • Download Assets
  • Upload Assets
  • Search for Assets
  • Tag Assets
  • Move Assets
  • Share a Link
  • Create a Contact Sheet
  • Add Users
  • Edit Users
  • Remove/Deactivate Users
  • Delete Assets
  • Create Parent (Global) Folders
  • Rename Parent (Global) Folders
  • Delete Parent (Global) Folders
  • Create Child (Subfolders) Folders
  • Rename Child (Subfolders) Folders
  • Delete Child (Subfolders) Folders

Super Users do NOT have permission to:

  • Access the System Panel.

Standard User

Standard Users have permission to:

  • Download Assets
  • Search for Assets
  • Tag Assets
  • Share a Link
  • Create a Contact Sheet

Standard Users do NOT have permission to:

  • Upload Assets
  • Add Users
  • Edit Users
  • Remove/Deactivate Users
  • Delete Assets
  • Create Parent (Global) Folders
  • Rename Parent (Global) Folders
  • Delete Parent (Global) Folders
  • Create Child (Subfolders) Folders
  • Rename Child (Subfolders) Folders
  • Delete Child (Subfolders) Folders
  • Access the System Panel

Curator

Curator Users have permission to:

  • Download Assets
  • Upload Assets
  • Search for Assets
  • Tag Assets
  • Move Assets
  • Share a Link
  • Create a Contact Sheet
  • Delete Assets

Curator Users do NOT have permission to:

  • Add Users
  • Edit Users
  • Remove/Deactivate Users
  • Create Parent (Global) Folders
  • Rename Parent (Global) Folders
  • Delete Parent (Global) Folders
  • Create Child (Subfolders) Folders
  • Rename Child (Subfolders) Folders
  • Delete Child (Subfolders) Folders
  • Access the System Panel

Instance Administrator (System Administrator)

An Instance Administrator is created by clicking the check box below the Divisions.

  • Instance Administrators have Super User permissions to all Divisions.
  • Instance Administrators have permissions to access the Admin Panel and the System Panel.

Upload Only

Upload Only Users have permission to:

  • Upload Assets

Upload Only Users do NOT have permission to:

  • Download Assets
  • Search for Assets
  • Tag Assets
  • Move Assets
  • Share a Link
  • Create a Contact Sheet
  • Add Users
  • Edit Users
